Important Notice About AI Processing: When you use our business card scanning feature, your images are processed by third-party AI services. We cannot guarantee the privacy or security of data sent to these providers. See Section 4.1 below for details.

This Privacy Policy describes how Zyzyva LLC ("we," "us," or "our") collects, uses, and shares your personal information when you use our contact management and business card scanning services.

1. Information We Collect

We collect information that you provide directly to us, including:

  • Account Information: Email address (for magic link authentication)
  • Optional Profile Information: Name, phone number, job title, company affiliation (if you choose to provide)
  • Contact Data: Information from business cards you scan or manually enter
  • Payment Information: Processed by third-party payment processor (we store only a customer reference ID, not credit card details)
  • Usage Information: How you interact with our service
  • Device Information: Browser type, IP address, device identifiers

2. How We Use Your Information

We use the information we collect to:

  • Authenticate you via magic link emails (passwordless login)
  • Provide and maintain our contact management services
  • Process business card images through third-party AI services
  • Process subscription payments through our payment processor
  • Send you login links, receipts, and important service notifications
  • Generate QR codes and export your contact data (vCard, CSV)

3. Information Sharing

3.1 Service Providers

We share your information with third-party service providers who perform services on our behalf, including:

  • Payment Processor: Payment processing (we share email and payment information)
  • Email Service: To send magic link authentication emails
  • Hosting Provider: To store and serve your data

3.2 AI Processing Services - IMPORTANT LIMITATIONS

CRITICAL NOTICE:

When you use our business card scanning feature, we send your business card images to third-party AI services for processing. Once sent to these providers:

  • We have NO control over how they handle your data
  • We CANNOT guarantee privacy or confidentiality
  • Your data may be used for their AI training
  • We are NOT responsible for their data practices

Only scan business cards with publicly-shared professional information.

4. Your Rights and Choices

  • Access and update your information
  • Delete your account and data
  • Export your contacts in CSV or vCard format
  • Opt out of marketing communications
  • Choose not to use AI scanning features

5. Data Retention

We retain different types of data for different periods:

5.1 Contact Data

  • Active Accounts: Your contact data (names, email addresses, phone numbers, companies, events, etc.) is retained while your account is active or as needed to provide services.
  • After Subscription Expires: If your subscription expires or you downgrade to a free tier, we will retain your contact data for 1 year. During this grace period, you can reactivate your subscription and retain full access to your data.
  • Export Notification: Before the end of the grace period, we will email you (30 days before deletion) to notify you that your data will be deleted and provide instructions to export your contacts via CSV.
  • After Grace Period: If you do not reactivate or export your data within 1 year, your contact data will be permanently deleted.

5.2 Business Card Images

  • Business card images are processed for contact extraction purposes.
  • Our current practice is to delete images after processing is complete, but this may change.
  • Important: Third-party AI providers may retain copies according to their own policies, which we do not control.

5.3 Account Deletion

  • When you request account deletion, we will delete your account data within 30 days.
  • Backup copies are deleted within 90 days.
  • Subscription information (which plan you had, when it started/ended) may be retained as needed for our records.

5.4 Payment Processing

  • All payment transactions are processed by Square.
  • We only store subscription status and references to Square's payment system.
  • Square retains payment transaction details according to their retention policies and legal requirements.

5.5 Data Shared with Third Parties

  • Data sent to third-party AI providers is subject to their retention policies, which we do not control.
  • Payment data processed by our payment processor is subject to their retention policies.

6. Data Security

We implement reasonable security measures to protect your information. However, no method of transmission over the Internet is 100% secure.
